The press release format, part by part
Every wire-ready press release follows the same skeleton, and journalists notice when one doesn't. In order:
- "FOR IMMEDIATE RELEASE" — top of the page. (Use "EMBARGOED UNTIL [date]" only when you've agreed an embargo with the outlet.)
- Headline. The news in active voice, under ~100 characters. Not clever — clear.
- Subheadline (optional) — one line of supporting detail the headline had no room for.
- Dateline + lead. "CITY, State — Month Day, Year —" then one paragraph carrying who, what, when, and why it matters. If a journalist reads only this, they have the story.
- Body. One or two paragraphs of supporting detail: numbers, availability, pricing, context.
- Quote. A named spokesperson saying something with an opinion in it — never a restatement of the lead.
- Boilerplate. "About [Company]" — 2–3 reusable sentences on what the company does and one proof point.
- Media contact + ###. A name and an email a reporter can reach today, then three hash marks to mark the end.
How to write a press release journalists actually read
- Decide the news type first. Launch, funding, partnership, and award releases lead differently — that's why this generator makes you pick before you write. A funding lead is the amount and the investor; a launch lead is the product and who it serves.
- Write the headline last. Draft the lead paragraph, then compress it. If the headline needs a comma and two clauses, the news isn't clear yet.
- Keep it to one page. 300–500 words. Anything essential that doesn't fit belongs in a follow-up conversation, not paragraph six.
- Make the quote do real work. The test: could the journalist have written it themselves from the facts? If yes, cut it and try again.
- Send it to people, not addresses. A release on your newsroom page plus five personal emails to reporters who cover your space beats a 500-contact blast every time.

- Lead with the news, not the company. Put the announcement in the headline and repeat it in the first sentence with the who, what, when, and where. Follow with one or two paragraphs of supporting detail, one quote from a named spokesperson that adds opinion rather than restating facts, a boilerplate paragraph about the company, and a media contact. Keep the whole thing on one page — 300 to 500 words.
- What is the correct press release format?
- The standard format is: "FOR IMMEDIATE RELEASE" at the top, a headline (and optional subheadline), a dateline in the form CITY, State — Month Day, Year —, a lead paragraph carrying the whole story, supporting body paragraphs, a spokesperson quote, an "About [Company]" boilerplate, media contact details, and three hash marks (###) to mark the end. - How long should a press release be?
- One page — roughly 300 to 500 words. Journalists skim dozens of releases a day; if the news doesn't survive being cut to the first paragraph, the release is too long rather than the paragraph too short. Put everything essential in the headline and lead, and let the body add detail for whoever keeps reading.
- What does ### mean at the end of a press release?
- The three hash marks are a print-era convention that signals the end of the release, so an editor knows no pages are missing. It is still expected formatting: it tells the journalist the document is complete and anything after it (like contact notes) isn't for publication.
